Vendor Terms & Legal Framework

Contract structure, insurance, and compliance details — designed to work seamlessly with corporate procurement and vendor onboarding.

Standard Contract Documents

All block reservations and multi-room contracts come with our standardized Corporate Housing Agreement, covering service scope, pricing, service level agreements, cancellation policy, insurance, occupancy rules, and confidentiality provisions.

Insurance & Liability

Corporate Heir Solutions maintains:

  • General Liability Insurance: $1,000,000 minimum
  • Workers Compensation: As required by Texas law
  • Property Insurance: On all furnished units

Proof of insurance available upon vendor onboarding request.

Client Responsibility: Client is responsible for any damage to property caused by Client's personnel beyond normal wear and tear. Damage assessments billed separately at reasonable market rates. Provider's total liability is capped at the total contract value.

Payment & Invoicing

Standard Terms:

  • Net 30 or Net 60 days (negotiable based on contract size)
  • Monthly invoicing on the 1st of each month for the following month's occupancy
  • Accepts: ACH transfers, checks, PO-based invoicing, corporate credit cards

Volume Discounts:

  • 10% discount for bookings of 6+ rooms within the same contract
  • Up to 15% discount for contracts 90+ days (may be combined)

Cancellation & Contract Modification

Cancellation Policy:

  • 30+ days prior to start date: Full refund
  • 15–30 days prior: 50% of first month charges
  • Within 14 days of start date: Non-refundable (100% of first month)

Mid-Contract Modifications:

  • Increases in room count: Accommodated subject to availability
  • Decreases in room count: 30 days' notice; prorated refund after adjustment period
  • Project extensions: Pricing locked at contracted rate

Compliance, Force Majeure & Confidentiality

Client warrants: all personnel are authorized to work in the United States, compliance with applicable immigration and employment laws, and no violations of OFAC sanctions.

Force Majeure: Both parties are protected in the event of natural disasters, severe weather, government action, or public health emergencies that prevent property access or occupancy. Provider will make reasonable efforts to secure alternate housing if primary units become unavailable.

Confidentiality: Provider maintains strict confidentiality of Client project information, timelines, and personnel details, and does not share this information with third parties without explicit written consent.
